At Once Upon a Picnic, we specialize in creating unforgettable luxury picnic experiences. Our services are designed to provide seamless and memorable setups, complemented by thoughtful policies to ensure the best experience for every client. Below is a comprehensive overview of our services, payment structure, cancellation terms, and weather considerations.
Service and Timing
- Event Setup: Our picnics are available for a minimum duration of 2 hours, with optional extensions:
- $30 per additional half-hour.
- $50 per additional hour.
- Business Hours: Monday–Sunday, 12 PM–10:30 PM.
- Location Considerations: Setup times may vary based on venue-specific hours (e.g., public parks or event halls).
- Travel: A $100 travel fee applies to events located more than an hour from our business.
Payment Policies
- Consultation Process:
- All event details, setups, and add-ons will be discussed during a scheduled consultation call. Consultation calls are available to be scheduled Mon,Wed,Fri 12pm-8:30pm.
- An invoice will be sent within 24 hours of the consultation laying out the package chosen, addons (if applicable), total of all costs, and split fees 50% retainer and 50% final payment including $20 refundable deposit in final payment.
- Payment Breakdown:
- A 50% retainer fee is due after receiving the first invoice.
- The remaining 50% balance and a $20 refundable deposit are due the week before the event.
- For events scheduled within one week, the full payment (100%) and the $20 deposit are due after the consultation.
- All payments are non-refundable, except for the $20 refundable deposit (based on preservation of goods).
- Rescheduling:
- Reschedule requests must be made before the final payment is due.
- Clients have 14 days to choose a new date (the event may take place later but must be scheduled within this window).
- Failure to Pay:
- If the client fails to make the final payment on time and does not contact Once Upon a Picnic, the event will be canceled. No refunds will be issued.
Client Responsibility
From setup to retrieval, clients are responsible for all items provided for their event. The $20 refundable deposit will be forfeited if items are lost, damaged, or broken.
Food and Waste Management:
While Once Upon a Picnic provides a curated selection of candies and water, we do not provide full meals. Guests are welcome to bring additional food and beverages to personalize their experience ( excluding crawfish boils). However, clients are kindly asked to clean and dispose of any food-related trash responsibly to help maintain the beauty of the location and preserve the ambiance for others.
Weather Policy
If weather conditions are unsuitable, clients may:
- Reschedule up to 3 days before the event.
- Provide an indoor option, which Once Upon a Picnic will assess for feasibility.
Reschedule Window:
- Clients have 30 days from the reschedule date to finalize a new event date. The event may occur later but must be scheduled within this timeframe.
Unsuitable Weather Conditions include but are not limited to:
- Rain probability over 25%, high winds (20+ MPH), lightning, hail, snow, flooding, tornado warnings, severe storms, or weather-related massive power outages.
Cancellation Policy:
- No same-day cancellations are permitted.
- All payments are non-refundable unless Once Upon a Picnic cancels the event.

Once Upon A Picnic Setup and Teardown Policy
At Once Upon A Picnic, we are committed to providing a seamless and enjoyable luxury picnic experience. Our team is responsible for the complete setup and teardown of your picnic, ensuring every detail is handled, from arranging the furniture and decor to providing simple candies and water.
Responsibilities:
- Setup: Our team will arrive at the agreed-upon location to set up all picnic elements, including seating, tableware, decor, candy, and water.
- Teardown: Once your picnic experience has concluded ( meaning the hours agreed upon and set has been reached), we will return to pack up and clean the area, removing all items we provided. We will remove LIGHT TRASH in the provided wastebasket (dimensions D 6”- 9”x H 9.4”)
Excessive Trash: While we handle cleanup of our provided items, we are not responsible for excessive trash left behind by guests during the picnic. “Excessive trash” refers to:
- Large amounts of non-picnic waste, such as discarded personal items, large packaging, or commercial waste.
- Trash exceeding the capacity of provided wastebasket D 6”- 9”x H 9.4” (i.e., piles of leftover food, bottles, or other materials beyond what was provided).
- Hazardous waste, including broken glass, sharp objects, or other unsafe materials.
Guests are kindly asked to dispose of their personal waste appropriately and ensure the area is free from any excessive trash. In cases of excessive waste, an additional cleanup fee of $100 will apply. Our goal is to leave the location as beautiful as we found it, and we appreciate your cooperation in maintaining that standard.
